About the Role 

The HR Intern is responsible for supporting the day-to-day administrative and operational functions of the Human Resources department. This role is focusing on the execution of precise documentation, employee lifecycle coordination, and the maintenance of HRIS data integrity. The incumbent is expected to assist in digital transformation through data migration exercises and process automation to enhance departmental efficiency.

Primary Tasks & Responsibilities

1. HR Operations, Correspondence & Statutory Compliance

  • Execute the end-to-end processing of “Letters of Appointment” (LOAs) and internal staff letters, ensuring 100% precision so that all correspondence is neat and professional.

  • Administer all Pre-onboarding, Onboarding, and Post-onboarding activities, ensuring on-time renewal of employment contracts and meticulous filing of all statutory documents.

  • Manage EPF/ETF documentation and compliance records 

  • Coordinate IT and facility setups for new joiners, including biometric registration and attendance system updates.

2. Data Integrity, HRIS & Automation

  • Maintain employee profiles within BambooHR, ensuring zero errors in HRIS entries to uphold the integrity of the overall company database.

  • Support the HR team in data migration exercises and the development of automated reporting tools, ensuring these tools are error-free and improve day-to-day functional efficiency.

  • Monitor system changes and update the HRIS to align with organizational requirements.

3. Compensation & Benefits Management

  • Assist in updating salary changes, ensuring data is accurate for HRBP review.

  • Manage employee insurance portfolios, ensuring timely submission of all claims, reimbursements, inclusions, and deletions without lapse in coverage.

4. Engagement, Events & Communication

  • Provide hands-on event support and coordination for employee special celebrations and HR initiatives to help maintain Team eNPS at the company’s set standards.

  • Manage partnered vendors (e.g., Thyaga, Kapruka) for recognition programs and manage office supply inventories/asset returns.

  • Design and distribute internal HR communications and coordinate L&D initiatives with internal parties.

And any other duties and responsibilities entrusted by the Management.

Requirements

  • Part/Full qualification in PQHRM or CQHRM. or a Bachelor’s degree in the Human Resources field.

  • Advanced skills in Google G-Suite (specifically Google Docs and Sheets).

  • Familiarity with the BambooHR system is highly advantageous.

  • Strong numerical aptitude.

  • Ability to handle data migration and salary updates with high accuracy.

  • Excellent command of verbal and written English. Must be a "people person" , social, friendly, and possessing strong interpersonal skills.

  • A commitment to maintaining professional "neatness" in all written documentation and correspondence.

  • Driven, independent, and a proactive self-starter.

  • Highly coachable; must possess the humility to learn from mistakes and the grit to improve.

  • Absolute integrity in maintaining the confidentiality of personnel and organizational fiscal information.
